How to solve complicated reimbursement issues

Updated: Aug 8

You joined your club to surround yourself with like-minded people and enjoy meaningful experiences, not to manage a spreadsheet or be chased after for payments. Read on to learn how you can completely avoid reimbursements so that you can stop searching after lost receipts and start focusing on why you joined your club in the first place.

If you're a club treasurer, we’re guessing you’ve had to deal with a situation where a member comes up to you with a reimbursement request that is way over budget, or, even worse, they want their reimbursement but can't find their receipt.

With everyone using various types of payments (like Venmo, credit, debit, or wire transfers), taking care of reimbursements can be a real headache for any treasurer and lead to serious budgeting problems and complicated end-of-year reporting.

The good news is that there is a way for your club to avoid reimbursements altogether that doesn't involve having everyone use the same physical debit card for purchases.

This is where we come into the picture.

We’re Crowded – the first banking service designed specifically for clubs, groups, and other non-profit organizations. Not only can you store your club funds with us knowing that they're safe (we're backed by an FDIC insured bank), you can also you several of our free features that we built exclusively for members clubs.

We spoke to club treasurers across the country in order to understand where their needs weren't being met and ended up creating a bunch of solutions that help clubs focus more on the fun and less on managing finances and scattered excel sheets.

Sorry, we got excited. Back to the issue at hand – saying goodbye to reimbursements.

With Crowded, chapter treasurers can quickly issue virtual Visa debit cards to any of their members' Apple or Google Wallets. Members can only use these virtual cards once their treasurer puts money on them which means that as a treasurer you'll have better control over your budget. Even better, each transaction on any of your members' cards will show up in your Crowded mobile app. In other words, this feature is a game changer for any club looking to save time, resources, and money.

Members also love this method because it means they don't have to pay out of pocket or remember to submit receipts. Plus, members know in advance how much they can spend, and then there aren’t any awkward surprises.

Your club can already get started using our digital debit card feature by creating your free Crowded bank account. The good news? There are no signup costs, no minimum balances, and no everyday account fees.
